HCL CYCLOTHON — SPORTS DAY STRAVA CHALLENGE
Terms & Conditions
1. Introduction
These Terms & Conditions (“Terms”) govern the HCL Cyclothon Sports Day Strava Challenge (the “Challenge”), organised by Vama Sundari Investments (Delhi) Private Limited, (the “Organiser”). By registering or participating you (“You” or “you” or “Participants” or “participant”) accept these Terms in full. The Challenge is a cycling activity challenge held to celebrate National Sports Day.
2. Challenge Period
Only cycling activities recorded between 00:00 on 3 August 2026 and 23:59 on 23 August 2026 IST (the “Challenge Period”) will count. Winners will be announced on 29 August 2026 (National Sports Day).
3. Eligibility
- Open to residents of India aged 16 years or older. If you are below 16 years of age, do not enter the Challenge. Participants who are under the age of 18 must review these Terms and Conditions with their parent or legal guardian and obtain their consent before entering the Challenge. By participating, such participants represent that they have obtained the consent of their parent or legal guardian, who has read, understood, and agreed to these Terms and Conditions on the participant’s behalf. By entering the Challenge, each participant is deemed to have read, understood, accepted, and agreed to be bound by these Terms and Conditions. If a participant does not agree to these Terms and Conditions, or, where applicable, has not obtained the required parental or legal guardian consent, the participant must not enter or participate in the Challenge.
- Participation is voluntary. You confirm you are medically fit to cycle and participate at your own risk.
- Employees and immediate family of the Organiser directly involved in administering the Challenge are not eligible to win.
- No purchase, payment or fee of any kind is required to enter or win.
4. How to Register
To register, before your rides can count you must:
- Follow @HCLCyclothon on Instagram;
- Join the HCL Cyclothon club on Strava; and
- Complete the official registration form at https://hclcyclothon.com/national-sports-day/, providing your name, email, phone number, mailing address, gender, exact Strava display name, Strava profile link, Instagram handle and bike type. Registration is open from 25 July until 23 August 2026. Your rides count only from the later of 1 August 2026 or the date you join the HCL Cyclothon Strava club. Gender declared at registration determines your category for gender-based rankings.
5. Challenge Categories & How to Win
You are automatically entered in both challenges; your qualifying rides count toward each.
A. Time Challenge:
Ranked by the highest cumulative riding time recorded on Strava during each challenge week. Every week, the top five male and top five female participants will be shortlisted, subject to verification.
B. Distance Challenge:
Ranked by the highest cumulative riding distance recorded on Strava during each challenge week. Every week, the top five male and top five female participants will be shortlisted, subject to verification.
6. Ride & Tracking Rules
- The Challenge is for cycling only; rides must be recorded as a cycling activity on Strava.
- Rides must be GPS-recorded through Strava or a synced device. Manually entered activities do not count.
- E-bikes and any motor-assisted cycles are not permitted; such activities will not be counted.
- You must set your Strava activity visibility to “Everyone (Public)” or “Followers”; activities set to “Only You” cannot be counted.
- You must remain a member of the HCL Cyclothon Strava club for a ride to count.
- The Organiser may disqualify any activity or participant it reasonably believes to be fraudulent, manipulated, GPS-spoofed, motor-assisted, or otherwise in breach of these Terms or Strava’s terms.
7. Sharing on Instagram (Optional)
Sharing your rides is encouraged but is not required to enter or win.
- We’d love you to share your rides on Instagram, tagging @HCLCyclothon and using #HCLSportsDayChallenge — it helps grow the community and inspire new riders.
- Consider posting using Strava’s transparent ride-stats overlay.
- Only posts that tag @HCLCyclothon and use #HCLSportsDayChallenge may be featured in HCL Cyclothon recap reels, weekly highlights and Sports Day content.
- By tagging @HCLCyclothon and using the hashtag, you grant the Organiser a non-exclusive, royalty-free, worldwide licence to re-share, repost and feature your posts and Strava screenshots across HCL Cyclothon channels, with credit to your handle.
8. Prizes
- Time Challenge and Distance Challenge winners each receive: a customised HCL Cyclothon jersey, an HCL Cyclothon sipper, and partner goodies.
- Prizes are non-transferable, cannot be exchanged or encashed, and must be accepted as awarded. The Organiser may at its sole discretion, substitute a prize as it may deem fit.
- Any applicable taxes on prizes are the responsibility of the winner.
9. Selection & Notification of Winners
- Rankings for the Time and Distance challenges are based on Strava club leaderboard totals at the close of the week during Challenge Period, subject to verification by the Organiser.
- Tie-breaker — Distance Challenge: higher total moving time wins; Time Challenge: greater total distance wins (applied within each gender category).
- Multiple or duplicate registrations by the same participant will be disqualified.
- Winners will be contacted using the details provided at registration and/or by Instagram DM on/after 29 August 2026. To claim, a winner must confirm their shipping address within 7 days of being contacted; unclaimed prizes may be reallocated.
- The Organiser’s decisions on eligibility, verification and winners are final and binding.
10. Use of Your Data
- Personal information collected at registration (including name, email, phone number, mailing address, gender, Strava and Instagram identities and bike type) is used solely to administer the Challenge — including matching your Strava, Instagram and registration identities, verifying eligibility and category, contacting participants and delivering prizes — and is processed in accordance with the Digital Personal Data Protection Act, 2023 and the Organiser’s privacy policy at https://hclcyclothon.com/privacy-policy/. By registering you consent to this use. You may withdraw consent or request deletion by emailing support@hclcyclothon.com, noting this may make you ineligible to continue or to receive a prize.
11. Publicity & Intellectual Property
Participants grant the Organiser the right to use their entry, name, handle, image and likeness for editorial, promotional and marketing purposes across media, without further permission or compensation, except where prohibited by law. Participants warrant that their submitted content does not infringe any third party’s rights and will indemnify the Organiser against claims arising from such infringement.
12. Platform Disclaimers
- This Challenge is in no way sponsored, endorsed, administered by, or associated with Instagram or Meta Platforms, Inc. You release Instagram/Meta from any liability arising from the Challenge.
- This Challenge is not affiliated with, sponsored by, or endorsed by Strava, Inc. Strava is used only as the activity-tracking platform, and your use of it remains subject to Strava’s own terms.
13. General
- The Organiser may amend, suspend, extend or cancel the Challenge or these Terms at its discretion, communicating material changes via HCL Cyclothon’s Instagram.
- The Organiser is not liable for lost, delayed, corrupted or misrecorded activity data, or for any Strava, Instagram, device, technical or force majeure failure.
- Participants who breach these Terms, act unfairly, or bring the Challenge or Organiser into disrepute may be disqualified.
- Failure by the Organiser to enforce any right does not constitute a waiver.
- Participation in the Challenge shall be construed as an acceptance of the terms and conditions stipulated herein. Any breach or default by you of any of the terms and conditions herein shall result in immediate disqualification without notice. The participant(s) failure to accept or comply with the provisions of these terms & conditions will disqualify them from participation. The decision of Organiser for all matters relating to participant(s) participation shall be final and binding in all respects
- To the extent permitted by law, the Organiser and its agents and representatives hereby expressly exclude any liability whether in contract, tort, criminal law, breach of statutory duty or otherwise for any direct, indirect or consequential loss, damage, injury or disappointment (including without limitation any pure economic loss) suffered or incurred by any participant, winner or any third party whether foreseeable or not in connection with the Competition.
- The Organiser in no manner whatsoever responsible and/or shall not be held liable in any manner whatsoever, for any physical injury, death, mental and/or emotional trauma caused to the participants in any manner whatsoever, in relation to the Challenge and/or any matters arising out of the terms and conditions.
- You hereby indemnify and hold harmless Organiser and its affiliates, their respective, directors, employees, officers, sub-licensee, assignees, representatives and partners from and against any claim, loss, damages, liability or cost of any person, firm or corporation, including, without limitation, legal fees, arising out of any breach of this term and conditions by the participant(s).
- The Organiser may undertake publicity activities relating to the Challenge and prize awards. The winner therefore agrees to the use of their name, photograph and disclosure of town or region of residence in any post-prize-winning publicity names, surnames, towns or regions of residence and prize details, by Organiser.
- The Organiser decision in respect of all matters to do with the Challenge shall be final and no correspondence will be entered into.
- The Organiser reserves the right to cancel, modify, extend or withdraw the Challenge prematurely at its sole and absolute discretion and without notice.
- The Organiser shall not be responsible for any malfunction/server error/technical fault of any kind either at the participant’s end or otherwise, which prevents the participant(s) from taking part in the Challenge.
- The decision of Organiser shall be final and binding with regard to any dispute arising out of this offer and is non-contestable. No correspondence shall be entertained in this regard. The participant(s) agree and understand that the decision of Organiser with respect to the Challenge will be final and binding and the participant (s) hereby waive any legal right that they may have to protest and/or dispute the decision of Organiser.
- To the extent permitted by law, the Organiser and its agents and representatives hereby expressly exclude any liability whether in contract, tort, criminal law, breach of statutory duty or otherwise for any direct, indirect or consequential loss, damage, injury or disappointment (including without limitation any pure economic loss) suffered or incurred by any participant, winner or any third party whether foreseeable or not in connection with the Challenge.
14. Governing Law
These Terms are governed by the laws of India. Any dispute will be subject to the exclusive jurisdiction of courts in Delhi.
